PERSONAL ASSISTANT AT BOUTIQUE HEDGE FUND

Base Salary Range is $130K to $150K (based upon candidate and experience)

100% Paid Benefits; Four (4) Weeks’ Vacation; and Large Bonus Potential

Solidly established Boutique Hedge Fund is looking for an experienced Personal Assistant to support multiple Senior Members of the Firm. This individual must have the highest integrity and the confidence to make informed decisions independently and under pressure. A successful candidate will possess excellent written and verbal communication skills, a strong business sense, and a proven ability to work independently and meet deadlines. Meticulous attention to detail and problem-solving skills are essential.

The company’s official policy is Four (4) Days in Office and One (1) Day Remote; however, you must be Flexible for Five (5) Days in Office. Hours are Typically from 8am-5:30pm. The office is in Midtown Manhattan in the 50’s.

QUALIFICATIONS AND SKILLS

  • Associate’s or Bachelor’s Degree required.
  • Minimum of Three (3) years of Personal Assistant Experience supporting Senior Executives.
  • Proficiency in Microsoft Office.

RESPONSIBILITIES AND DUTIES

  • Maintain discretion and confidentiality in all matters while meeting deadlines, maintaining accuracy and attention to detail.
  • Ability to work independently and as part of a team, collaborate and coordinate effectively with administrative team.
  • Flexibility to travel around Manhattan as needed and work out of corporate office.
  • Track important personal dates and occasions for all managers and their families.
  • Manage vendors and contact lists for all managers.
  • Plan and organize personal travel arrangements, including flights, hotel bookings, transportation, and visa requirements; create detailed itineraries and manage last-minute changes or disruptions.
  • Responsible for personal errands including purchases and returns, car maintenance coordination, and household shopping as needed.
  • Gift Management: source, wrap and deliver gifts; Maintain detailed records of past gifts and preferences.
  • Schedule personal appointments for managers.
  • Assist with personal finance tasks such as expense tracking, bill payments, and insurance reimbursements.
  • Plan and execute events (dinners, celebrations, etc.), ensure events run smoothly, including preparation, on-site coordination, and follow-up.
  • Maintain digital and physical filing systems, ensuring all documents are well-organized and easily retrievable, keep confidential documents secure and handle sensitive information with the utmost discretion.
